Our Commitment to Privacy

RunVela was built to help production teams organize complex projects—not to collect unnecessary personal information.

We believe your project data belongs to you. Our goal is to provide professional production tools while being transparent about what information we collect, how we use it, when it may be shared, and the choices you have regarding your information.

This Privacy Policy explains how RunVela collects, uses, stores, shares, and protects information when you use our website, mobile applications, Apple Watch app, widgets, Live Activities, and related services (collectively, the “Service”).

By using RunVela, you acknowledge that you have read and understood this Privacy Policy.

1. Information You Provide

The information stored in RunVela depends entirely on how you choose to use the Service.

You may create projects, schedules, production timelines, call sheets, crew rosters, travel itineraries, lodging information, transportation plans, production locations, notes, and other production-related information. You may also choose to include contact information, photographs, reservation details, confirmation numbers, room assignments, Wi-Fi information, access instructions, door or entry codes, company logos, or other materials that help your production operate efficiently.

Throughout this Privacy Policy, we refer to all information you create or upload as Project Content.

You decide what Project Content to include in RunVela. If you choose to include information relating to another person, you are responsible for ensuring you have the appropriate authority or permission to collect, store, and share that information.

2. Guest Mode

RunVela allows you to begin using many features without immediately creating a cloud-connected account.

During a normal guest session, your projects remain stored locally on your device. RunVela does not upload guest Project Content to its cloud infrastructure unless you later choose to create a cloud account and migrate your projects.

Guest mode creates a local identifier that allows RunVela to associate locally stored information with your guest session. This identifier exists solely to support local functionality and is not intended to create an anonymous cloud account.

Some optional features continue to rely on internet services while using guest mode. For example, searching for locations, requesting directions, retrieving weather information, or performing an optional company-logo lookup may require information to be transmitted to the service providing that feature.

For that reason, guest mode should not be interpreted to mean that every feature operates entirely offline or that no information ever leaves your device.

3. Creating a RunVela Account

RunVela currently uses Sign in with Apple for cloud-connected accounts.

When you sign in, Apple provides RunVela only with the information you authorize Apple to share. Depending on your Apple account settings, this may include your name, an account identifier, and either your email address or an Apple-generated private relay email address.

We use this information to authenticate your account, synchronize your projects, enable project sharing, restore your information across devices, and provide customer support.

Your use of Sign in with Apple is also governed by Apple’s own terms and privacy practices.

4. Moving Guest Projects to the Cloud

If you begin using RunVela as a guest and later decide to sign in with Apple, you may choose to migrate your guest projects into your cloud account.

Before migration begins, RunVela explains that selected Project Content will be uploaded to its cloud infrastructure so it can be synchronized across your devices and shared with authorized collaborators.

Depending on what your projects contain, migrated information may include schedules, locations, crew information, selected contact information, crew photographs, travel details, lodging information, reservation information, access instructions, door codes, Wi-Fi information, project notes, company logos, and other Project Content.

RunVela is designed not to remove your original guest data until migration and cloud synchronization have completed successfully. When available, you may also choose to keep a local guest copy.

5. Cloud Storage

When you use a cloud-connected account, RunVela stores project information using cloud infrastructure provided through Supabase.

Cloud storage allows RunVela to synchronize projects across devices, restore information if you replace a device, enable project sharing, maintain backups, and provide other cloud-based features.

Cloud-stored information may include your account information, profile information, and the Project Content you choose to synchronize.

RunVela does not claim ownership of your Project Content. The information you create remains yours.

6. Contacts

RunVela may request permission to access contacts stored on your device.

Contacts are used only when you choose to import someone into a project. RunVela may import selected names, phone numbers, email addresses, and contact photographs that you explicitly choose.

RunVela does not intentionally upload your entire address book.

Only the contact information you intentionally add to a project becomes part of that project’s data. If that project is later synchronized or shared, the selected contact information may become part of the cloud-stored project.

You are responsible for ensuring you have appropriate permission to include another person’s contact information or photograph in a project.

7. Project Sharing

RunVela is designed to make collaboration simple.

Project owners may invite other users to collaborate on a project. Once a person accepts an invitation, they may view the information contained within that shared project.

Depending on what you choose to include, shared information may consist of schedules, activities, production locations, crew information, contact information, travel details, lodging information, reservation information, access instructions, door codes, Wi-Fi information, photographs, notes, company logos, and other Project Content.

Only invite people you trust and who have a legitimate need to access the information contained within a project.

Project owners may remove collaborators or revoke pending invitations at any time.

When access is revoked, RunVela is designed to remove the shared project from the recipient’s RunVela account after that device next successfully synchronizes with the Service.

Because devices may occasionally be offline, previously cached project information may remain temporarily until synchronization occurs.

RunVela cannot remove information that another person has previously copied, exported, downloaded, photographed, screenshotted, printed, or otherwise stored outside the Service.

8. Maps and Location Services

RunVela uses Apple technologies, including Apple Maps, MapKit, geocoding, and directions services, to help users plan travel, navigate to production locations, and organize projects.

When you search for a location, request directions, calculate a route, or use location-based features, information such as addresses, search terms, geographic coordinates, or routing requests may be transmitted to Apple or the service providing that functionality.

RunVela may also open Apple Maps or another navigation application on your device to provide turn-by-turn directions.

Location information is used only to provide the features you request. RunVela does not guarantee that maps, addresses, directions, travel times, or routing information are complete, current, or accurate, and they should not be relied upon as the sole source of navigation information.

9. Weather

RunVela may display weather conditions or forecasts to assist with production planning.

To provide weather information, RunVela may send location information, such as geographic coordinates or a selected location, to a weather provider including OpenWeatherMap.

Weather information is provided solely for convenience. Forecasts may change rapidly and should not be relied upon as the sole basis for safety or operational decisions.

10. Notifications

RunVela may request permission to send notifications to your device.

Notifications may remind you about upcoming activities, schedule changes, travel, lodging, production events, or other information related to your projects.

Some notifications are generated locally on your device. Depending on your device settings, notification content may appear on your Lock Screen, Apple Watch, or other visible areas of your device.

You are responsible for configuring your device’s notification and privacy settings in a manner appropriate for your environment.

11. Live Activities, Widgets, and Apple Watch

RunVela uses Apple technologies including Live Activities, widgets, App Groups, WatchConnectivity, and Apple Watch to keep important production information readily available.

To provide these features, RunVela may temporarily store or synchronize limited project information between your Apple devices.

Depending on the feature you choose to use, this information may include activity names, schedules, countdowns, locations, navigation information, crew names, contact information, and other project details needed to display the requested feature.

Because this information may appear on your Lock Screen, Home Screen, Apple Watch, or other system interfaces, you should consider your device’s privacy settings before including highly sensitive information in a shared project.

12. Information Collected Automatically

Like most online services, RunVela and the services it relies upon may automatically receive certain technical information when you use the Service.

This information may include your IP address, device type, operating system version, application version, network information, request timestamps, and other technical information necessary to provide requested features or maintain the reliability and security of the Service.

As of the effective date of this Privacy Policy, RunVela does not include third-party advertising SDKs, third-party behavioral analytics SDKs, or third-party crash reporting SDKs.

Third-party service providers such as Apple, Supabase, and other infrastructure providers may independently process technical information according to their own privacy policies.

13. How We Use Information

RunVela uses information to operate, maintain, and improve the Service.

Depending on how you use RunVela, we may use information to:

  • authenticate users and maintain accounts;

  • synchronize projects across devices;

  • provide cloud backup and restore capabilities;

  • enable project collaboration and sharing;

  • display maps, weather, travel information, and notifications;

  • support widgets, Live Activities, and Apple Watch features;

  • respond to support requests;

  • troubleshoot technical problems;

  • maintain security and prevent unauthorized access;

  • investigate fraud, abuse, or violations of our Terms of Use;

  • comply with legal obligations; and

  • improve the reliability, performance, accessibility, and overall user experience of RunVela.

  • We do not use Project Content to build advertising profiles or deliver targeted advertising.

14. Third-Party Services

To provide the features you request, RunVela works with a limited number of trusted third-party service providers.

These providers currently include services such as Apple, Supabase, Apple Maps, OpenWeatherMap, and optional company-logo lookup providers.

These services operate under their own terms and privacy policies. Although we carefully choose providers that support RunVela’s functionality, we do not control their independent privacy practices.

We encourage you to review the privacy policies of any third-party service you choose to use through RunVela.

15. Sharing Information

RunVela shares information only when necessary to provide the Service or when you choose to share it.

Information may be shared with authorized project members that you invite to collaborate on a project.

Information may also be shared with service providers acting on our behalf to provide cloud hosting, authentication, synchronization, mapping, weather information, notifications, customer support, payment processing if paid features are introduced, or other operational services necessary to provide RunVela.

We may also disclose information if required by law, to comply with legal process, to protect the rights or safety of our users or others, to investigate fraud or abuse, or in connection with a merger, acquisition, reorganization, or sale of all or part of our business.

RunVela does not sell personal information.

RunVela does not use Project Content for targeted advertising.

16. Data Security

Protecting production information is important to us.

RunVela uses reasonable administrative, technical, and organizational safeguards designed to protect information stored within the Service.

No system, however, can guarantee absolute security. No application, transmission method, database, or cloud infrastructure is completely immune from unauthorized access.

You are responsible for protecting your own devices, maintaining the security of your Apple account, reviewing who has access to your shared projects, and removing collaborators when access is no longer appropriate.

You should avoid storing highly sensitive information unless it is reasonably necessary for your production and should periodically remove outdated access information, such as door codes or temporary credentials, when it is no longer needed.

17. Data Retention

We retain information only for as long as reasonably necessary to provide the Service, maintain your account, synchronize projects, comply with legal obligations, resolve disputes, protect the security of RunVela, and enforce our agreements.

Guest projects generally remain stored on your device until you delete them, migrate them to a cloud account, reset guest data, or remove the application from your device.

Cloud-stored information may remain temporarily in backups or disaster recovery systems after deletion where reasonably necessary for security, integrity, or legal compliance.

18. Account Deletion

RunVela allows both guest users and signed-in users to delete their information.

Deleting a guest account is designed to remove guest projects, guest identifiers, local caches, shared project caches, applicable Apple Watch and widget information, Live Activity state, locally stored authentication information, and related guest-session data.

Deleting a cloud-connected account is designed to remove your RunVela account together with associated cloud-stored information, including your profile information, owned projects, project content, and related sharing records, subject to reasonable technical, backup, legal, and security limitations.

Deleting your account does not necessarily remove information another user independently entered into their own project, nor can it remove information another person previously copied, exported, photographed, screenshotted, printed, or otherwise stored outside the Service.

19. Your Privacy Choices

RunVela is designed to give you meaningful control over your information.

Depending on how you use the Service, you may choose whether to:

  • use RunVela in guest mode or create a cloud-connected account;

  • migrate guest projects to the cloud;

  • retain a local guest copy after migration, when available;

  • import contacts into a project;

  • enable or disable notifications;

  • share a project with other users;

  • invite or remove collaborators;

  • edit or delete Project Content;

  • delete guest data; or

  • delete your RunVela account.

Some features may not function correctly if certain permissions are declined or later disabled through your device settings.

20. U.S. Privacy Rights

Depending on where you live, you may have privacy rights under applicable state law.

These rights may include the ability to request access to certain personal information, request correction of inaccurate information, request deletion, obtain a copy of certain information, or receive additional information about how your personal information is used.

RunVela does not sell personal information and does not use personal information for targeted advertising.

Before fulfilling certain requests, we may ask you to verify your identity in order to protect your information and the privacy of other users.

Certain requests may be limited or denied where permitted by applicable law.

21. International Users

RunVela is operated from the United States.

If you access the Service from outside the United States, your information may be transferred to, stored in, or processed in the United States or in other countries where our service providers operate.

Privacy laws in those jurisdictions may differ from those in your country of residence.

By using RunVela, you acknowledge that your information may be transferred and processed in accordance with this Privacy Policy.

22. Children’s Privacy

RunVela is intended for professional and business use and is not directed to children under the age of 13.

We do not knowingly collect personal information directly from children under 13 through account registration.

If you believe a child has provided personal information directly to RunVela without appropriate authorization, please contact us so we can investigate and take appropriate action.

The inclusion of a minor’s information in Project Content by an authorized production company, employer, parent, guardian, school, or other responsible party remains the responsibility of the person who enters or shares that information.

23. Changes to This Privacy Policy

As RunVela continues to evolve, we may update this Privacy Policy from time to time.

When we make changes, we will update the Last Updated date at the top of this page. If we make changes that materially affect how your information is collected, used, or shared, we may also provide additional notice through the Service, our website, or by other appropriate means.

Your continued use of RunVela after an updated Privacy Policy becomes effective constitutes your acknowledgment of the revised Privacy Policy to the extent permitted by applicable law.
